Privacy Policy

National Communications (“we,” “us”) provides hosted voice services, including cloud phone systems, SIP trunking, and related features. This policy explains what information we collect, how we use it, and your choices.

Effective date: January 1, 2025

1. Information We Collect

Account information: name, business name, billing and service addresses, email, phone numbers, and payment details.

Service and usage data: call detail records (date, time, duration, calling and called numbers), call routing and quality metrics, device and IP information, and feature usage.

Call content: we do not record calls unless you enable recording or voicemail features. If enabled, we store recordings, voicemail audio, and transcriptions on your behalf.

Location information: the registered service address and, where applicable, dispatchable location data used for E911.

Support and communications: messages, tickets, and call notes you share with us.

Website data: cookies, IP address, and browser information when you visit our site or portal.

2. How We Use Information

We use information to:

  • Provide, route, bill, and support voice services
  • Deliver E911 and emergency calling
  • Maintain security and detect fraud, abuse, and spam or robocall traffic
  • Monitor and improve service quality
  • Meet legal and regulatory obligations
  • Communicate about your account, outages, and changes to service

We do not sell your personal information. We do not use call content for advertising.

3. Customer Proprietary Network Information (CPNI)

Information about your service, such as call details and features subscribed to, is CPNI protected under federal law (47 U.S.C. § 222). We use and disclose CPNI only to provide and bill for services, protect our network and customers, comply with law, or as you authorize. We authenticate customers before releasing CPNI.

4. Call Recording

If you use recording features, you are responsible for complying with applicable consent laws, including notifying call participants where required. North Carolina is a one-party consent state, but calls with participants in other states may require all-party consent. We store recordings only as long as your settings require and do not access them except to provide support at your request, to comply with law, or to protect our network.

5. How We Share Information

We share information only with:

  • Service providers who help us operate our services (carriers, billing, cloud hosting, payment processing, support tools) under confidentiality obligations
  • Upstream carriers and emergency services as needed to complete calls and E911
  • Law enforcement or regulators when required by valid legal process or emergency circumstances
  • A successor entity in a merger, acquisition, or sale of assets
  • Others, with your consent

6. Data Retention

We keep account records for the life of your service plus [7] years for billing, tax, and legal purposes. Call detail records are kept for [X months/years]. Recordings and voicemail are kept per your configured retention settings. We delete or de-identify information when it is no longer needed.

7. Security

We use reasonable administrative, technical, and physical safeguards, including encryption in transit (TLS/SRTP where supported), access controls, and monitoring. No system is completely secure, and we cannot guarantee absolute security. Please protect your credentials and notify us promptly of suspected unauthorized access.

8. Your Choices and Rights

You may request access to, correction of, or deletion of your personal information, subject to legal retention requirements. Residents of states with privacy laws may have additional rights, including opting out of certain processing. To make a request, contact us at the address below. We will verify your identity before responding.

You can opt out of marketing emails at any time. Service and legal notices will continue.

9. Business Customers and End Users

If you are a business customer, you control the personal information of your employees and other end users on your account. You are responsible for providing them any required notices and obtaining any required consents. We process that information on your behalf under our service agreement.

10. Children

Our services are not directed to children under 13, and we do not knowingly collect their information.

11. Changes to This Policy
